An exciting opportunity is available for a part-time Administrative Assistant to join one of HHMI’s laboratories located at the University of California San Francisco, Mission Bay campus in San Francisco, CA. In this position, you can expect to be a part of a team providing administrative support to the Investigator and research staff.
Work in collaboration with primary Administrative Assistant to support Investigator, anticipating needs and providing relief from administrative details
Enter orders for supplies and services in both HHMI and UCSF purchasing systems, follow-up on receipt of goods and troubleshoot problems with orders
Process travel reimbursements and other payment requests through HHMI and UCSF
Assist with meeting scheduling and making travel arrangements
Order and maintain journal subscriptions
Maintain publication and other files
Additional duties as assigned
At least two years of previous office experience, preferably in a medical, scientific, academic or non-profit environment
Excellent organizational skills, analytical and problem-solving ability, and attention to detail in a results and deadline-oriented environment
Ability to learn tasks independently and to apply experience to develop new techniques
Excellent communication and interpersonal skills
Excellent computer skills and in using standard office equipment
Proficiency in various computer programs is required
Must be able to work independently and as part of a team
