Responsibilities

Job Scope Provide administrative support to the mall general manager,
operations managers as well as offer assistance / support as
needed entire mall team.

Principal Accountabilities

Management/Operations/Communications 

Handle benefit enrollment packages for property employees 
Prepare bi-weekly payroll 
Manage and organize tenant files and leases 
Assist Operations Department as needed 
Prepare contracts 
Track contractors Certificates of Insurance 
Assist in preparation of construction updates and agreements 
Review public safety reports for accuracy 
Prepare insurance claim forms and transmit to proper department as needed 
Assist Accountant 
Prepare opening and closing notices for tenants 
Order through Sitestuff website and verify deliveries as requested 
Provide administrative help to other departments as requested

Clerical and Support Function 

Track vacation, sick time and personal days for property employees 
Organize and review “new hire” paperwork for property employees 
Prepare memos to retailers advising of changes, new stores, management updates, etc 
Updating tenant and vendor certificates of insurance 
General filing 
Open and sort mail 
Order office supplies, corporate handbooks, etc. 
Update cc: mail 
Prepare conference call minutes, staff meeting minutes, etc. 
Mail accounts payable

Competencies 

Time Management - Ability to manage time well and be self-motivated, without direct supervision. 

Communication - Able to provide ongoing input to mall team through thoughtful and detailed information. 

Teamwork - Able to work in a team atmosphere, providing support to other departments as necessary. 

Organization - Ability to maintain an organized workspace/office and have the skills necessary to keep an easily understood filing system. 

Customer Service - Has the interpersonal skills to provide good service to customers, contractors, vendors, and clients. Has friendly and helpful attitude.

Qualifications

Complete knowledge of excel, word

Ability to learn employer specific web based, software systems
