I. POSITION PURPOSE
II. Provides administrative and clerical support to relieve department managers or staff of administrative details. Will coordinate high volume of calls, messages, appointments, and information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs, or tables as necessary. Receives and responds to routine correspondence following established procedures not requiring management review. Requires the ability to exercise independent judgment and employ basic reasoning skills.
• Provide administrative support to Facilities group
i. High volume of calls
ii. Face-face interaction with people
iii. Account receipting
iv. Creating purchase orders
v. Tracking invoicing
vi. Entering payroll
• Support lobby movement of employees, customers, other
• Reserve conference rooms
• Participate in department conference calls
• Keep contacts list current
• Work in concert with the Security group
• Support company policies and procedures
• Other as assigned
III. MINIMUM REQUIREMENTS
• Education - 3+ years of experience in administrative support role.
• Good interpersonal skills with ability to communicate well in both oral and written communiqués and reports.
• Must be proficient in computer applications and software such as MS Office (word, excel, power point, access), People soft, CMMS (360 preferred), etc.
• For internal candidates, must constantly receive an “exceeds expectations” job evaluations over the past three years.
