The Administrative Assistant will assist in the daily operation of the management office. Performs a variety of clerical administrative tasks which are auxiliary to the work of the Property Manager and other staff members. Duties are generally diverse.Duties and Responsibilities: Incumbent is directly involved with residents and guests daily; therefore, must project a pleasant and helpful attitude in a professional manner. Works closely with Property Manager and Management Company. Performs administrative assistant functions including but not limited to: process background screening on tenants, filing, mail collection and distribution, word processing, data entry, maintain office supplies, replenish, and other essential needs as required. Answers telephone in professional manner and processes needs appropriately. Provides orientation to new residents. Provides assistance with copy machine and fax as needed to residents and collects monies. Provide assistance to all walk-ins, guest registration forms, welcome letter, rules and regulations, visitor passes and other information as needed. Manages bulletin boards by updating announcements, sales, rentals and other notices. Other duties as may be assigned by the manager.
2 to 3 years work experience in related field. Working knowledge of Microsoft Office and telephone protocol. Ability to multi-task, set and manage priorities. Excellent communication and listening skills in order to interact with a diverse and multi culture population. Keyboarding ability with accuracy at 45-50 words a minute Must function in team organized environment. Duties require professional verbal and written communication.
