Position Description

*General office duties of copying, faxing, filing, scanning documents
*General administrative duties of data entry, answering incoming phone calls, and emails
*Generate and submit daily fleeting activity for client
*Generate and submit weekly payroll time recording for terminal employees
*Generate weekly employee attendance tracking report
*Generate and submit weekly temporary employee’s payroll attendance
*Audit and prepare purchasing card reconciliation monthly
*Enter monthly model movements for Galahad bulk/marine
*Generate and submit weekly equipment lease hours to client
*Administrative processing of new hires and potential candidates for the terminal
*Track terminal’s purchase order program
*Update weekly and quarterly budget forecasting and report to Terminal Manager
*Incident investigation data preparation
*Act as a liaison for outside vendor services for terminal employees

Position Requirements

*Intermediate to excellent proficiency level in computer skills (PowerPoint, Outlook, Word, Excel)
*Must possess working knowledge of standard office equipment
*Good verbal and written communication skills, including ability to interact with individuals at all levels in the organization
*Must be able to work with confidential and sensitive information in a professional manner
*Basic math skills (addition, subtraction, multiplication, division, decimals, fractions)
*Must be able to work with a team, take direction from supervisor(s), focus attention on details, follow work rules, and adhere to work schedules
*Must be self-motivated and capable of working with minimal direct supervision
*Must be capable of completing and tracking multiple tasks simultaneously, and often under strict deadlines
*Proven organizational and time management skills required
*Ability to attain TWIC (Transportation Worker Identification Credential) as issued by TSA (Transportation Security Administration)
*Ability to wear required personal protective equipment and a company provided uniform
* Successful completion of pre-employment drug screen and background check upon job offer

PREFERRED EXPERIENCE / SKILLS / KNOWLEDGE
*Prior work experience as an administrative assistant supporting an operations work group is a plus
*Demonstrated knowledge of internal organization structure and understanding of business segments is a plus
*Additional pluses include an understanding of Company-specific software applications such as Lawson, Accounts Payable, etc.
*Minimal infrequent travel may be required
*May be required to lift up to 35 lbs. occasionally
