  • Job Summary: The Administrative Assistant provides professional administrative support primarily for development staff and functions supporting the School of Medicine, Healing Hands Director and the Executive Director of the School of Medicine Alumni Association including maintaining calendars, handling correspondence, coordinating travel plans, answering telephones, maintaining a system of files (electronic and paper), and assisting with projects. Also assists the Dean/Associate Dean/Assistant Dean-School of Medicine in projects as needed. Performs other duties as needed . Job Specifications: Seventh Day Adventist applicants preferred. AA/AS degree required. Relevant experience may be accepted in lieu of education. Three years advanced secretarial and project management experience required. Proficient in people skills, verbal and written communication, grammar and spelling, computer data input, word processing, Microsoft Office software, Microsoft Outlook, keyboarding at 50 wpm, scheduling appointments, and telephone skills. Proficiency in motor skills, hand-eye coordination, dexterity, and manual skills mandatory. Responsible individual with good judgment and decision making skills. Able to work with people in a tactful and diplomatic manner. Relates well with patients, staff, alumni, residents, faculty, administration & others. Able to deal with conflict and criticisms objectively. Flexibility due to many interruptions. Broad decision making, prioritizing, motivation and organization skills critical for follow through and completion of duties, involving a busy operation of a busy department. Must possess creativity and flexibility as needs of the office specify. Able to follow instructions, apply basic math skills, compose/proofread professional correspondence and materials, record observations accurately, manage office activities effectively, including project organization, clerical duties, working within deadlines, and managing simultaneous assignments through to completion, practice discretion with sensitive and confidential information, work independently, without frequent supervision, problem solve, make decisions, and use good judgment. Able to manage multiple assignments simultaneously. Able to see and hear sufficiently enough to recognize sights and sounds relevant to the position.
