The purpose of this job is to provide administrative support to the Sales Team Regional V.P.'s/ Leaders and thier SalesTeam Members, and the Sales Support Specialists, freeing sales personnel to focus on selling activities and achieving sales objectives.
Major Job Activities
Specific Tasks Support : Provides support for all specifically assigned tasks and duties
Computer support: Database management and website direction support
Process support: POS order processing (includes maintenance of master file system), Fee for Service purchase orders (maintain master agreement file system), Expense Reports
Key Functions Support: Retail and Food Service Contract Database posting, and Work Orders Processing
Reports Support: development and maintenance support (MOM Insights and JDE)
On Boarding Support: Provides new employee orientation and training support
Process improvements: undertakes and manages projects to improve administrative processes
Communications: insures on-going information flow within and between teams, so all sales personnel are kept informed of decisions, up-coming events, policies, changes, etc.
Education : High school degree - some College prefered.
Experience : Threeto Five years in administrative capacity, sufficient to learn computer systems, general office procedures, and the flow of information between and within departments.
Skills : Strong organization and planning skills, detail orientation, ability to multi-task; good interpersonal skills including customer responsiveness and ability to work as a team member; good written and spoken communications skills
Technical Skills : Good computer skills (standard program software and internal business systems reporting and maintenance)
Internal : Coordinate work with corporate departments, plant operations, sales operations, and field sales teams
External : Responds to requests, provides information and answers questions for vendors and customers
Problem Solving : Must be able to multi-task, manage shifting priorities, and identify, improve and automate (where possible) administrative procedures
Work Structure: Works under the supervision of the Director, Sales Support; organizes and prioritizes own work based on demands from internal customers.
Responsibility: Responsible for timely, accurate completion of administrative duties to maximize amount of time sales personnel have to focus on selling activity; errors or failure to be efficient and productive can negatively impact sales goals.
