Administrative Assistant

Purpose of Role: To contribute to the day to day operation of the Miami Regional Sales office and provide sales support to the consultants based within the department.

Specific Responsibilities:
Supporting the Sales Team in all areas to include building relationships with intermediary network, dealing with sales enquiries, preparation of materials, planning client meetings for sales trips

Servicing our intermediary network by assisting with their day to day enquiries. To involve liaising with the Montevideo Office and various departments within Man Investments.

Assisting the consultants and the Montevideo office in monitoring and reconciling subscriptions, redemptions and transfers

Creating and updating client and agent records in Man Edge (database).

Ensure own familiarity with anti-money laundering and compliance practices and that these are adhered to during the working day.

Ensure own familiarity with operational processes that correspond with the Miami RO sales functions.

Organizing sales meetings, travel bookings and processing expenses for the sales team

General administration duties to include filing, ordering stationary, maintenance of office machinery, answering calls, booking taxis, preparing couriers, dealing with health insurance queries.

Ordering and maintaining required supplies of sales materials both in hard copy and electronic format. Update database for intermediary requirements.

Office management – dealing with contracting and maintenance of third party providers, managing kitchen supplies

  • Standard work hours are 30 hours per week.
  • Required Hours: 9:00 am - 3:30 pm with overtime hours as required and pre-approved
  • This is a non-exempt position.
Technical Competencies:
Proficient in the use of Outlook, Word and Excel

Industry experience and familiarity with anti-money laundering desirable

Fluency in written and spoken Spanish

Authorization to work in the US
