Position Purpose:

The successful candidate must be able to anticipate and provide primary administrative support to a Vice President, Sr. Director and other directors/managers within the Concept + Design team. This individual must be a self-starter, work independently, as well as, simultaneously manage multiple tasks with different priorities, objectives and initiatives. Must have excellent discretion and judgment skills, as materials handled may contain sensitive or confidential information. This position will interface with management, Areas of the World, suppliers, shareholders and customers; therefore, the qualified candidate must have exceptional oral and written communication, interpersonal, organizational, customer service, and teamwork skills. Ability to work in a constantly changing and fast-paced, team environment is necessary.

Principal Accountabilities:

Time Management:
· Schedule calendars for teams and anticipate and handle conflict to make the most efficient use of their time in a rapidly changing environment.
· Coordinate travel plans (VISA’s/passports, transportation, accommodations, and trip meetings) for teams.
· Manage various inquiries.
· Execute the appropriate distribution of communications.
· Process all telephone calls and answer inquiries to ensure a high level of customer satisfaction, confidentiality, professionalism and courtesy.
· Effectively communicate with teams to understand needs, preferences, priorities and goals.
· Gather the necessary information for decision making and proactively develop responses to inquiries.
· Handle routine correspondence.
Core Administrative:
· Prioritize and process incoming mail, reports, and correspondence to create efficiencies in workflow on behalf of teams.
· Coordinate travel plans (primarily international travel, VISA’s/passports, transportation, accommodations, etc.).
· Coordinate various meetings, including note taking.
· Establish and maintain highly confidential files and records.
· Participate as a member of administrative team for backup and workload needs.
· May assist in processing, tracking and reconciling invoices, as well as, maintaining SOX requirements.
· Optimize use of technology for self and teams.
· Identify administrative process improvements and take initiative to implement necessary changes.
Minimum Requirements
Key Attributes and Requirements:
· A high degree of administrative, professionalism and organizational skills is required.
· Ability to multi-task and work in a fast-paced, team environment is a must.
· Must maintain strict confidentiality of information, as appropriate.
· Must be flexible and productive in a dynamic and creative environment.
· McDonald's experience strongly preferred.
· Advanced knowledge of MS Office Applications (Word, Excel, PowerPoint) and Outlook required.
· Website technical skills are also a plus.
