Position Summary

This position requires the ability to prioritize and multi task, while being detail-oriented and focused on deadlines. The person should be able to work independently, while still taking advantage of a team environment to complete tasks. This person must also be reliable and able to maintain a calm disposition under pressure.


Working as part of a team of administrative assistants —with direct support for up to four moderators.

Making travel arrangements for moderators, including flights, trains, hotels, rental cars, driving directions, and limos.

Processing expense reports.

Preparation of documents related to projects, including proposals, moderator’s guides, reports, and any appendix items.

Review company calendar; ensure travel plans are in place for current and coming weeks.

Manage moderator calendar: schedule conference calls, debriefs, etc. (in coordination with field department). Maintain contact list for moderators.

Occasional special projects.

Job Qualifications:
1-2 years of office experience supporting multiple senior level staff.

Previous experience in making complex travel arrangements.

Must be proficient in Microsoft office (PowerPoint, Outlook, Excel, Word), especially PowerPoint!

Outstanding verbal and written communication

Must be detail oriented/accurate and have excellent proofreading skills.

Excellent organizational skills

Ability to prioritize and multi-task
