Under direct supervision, provides general administrative support to a department or group of professionals. Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs, or tables as necessary. Receives and responds to routine correspondence following established procedures not requiring management review. Requires the ability to exercise independent judgment and employ basic reasoning skills.
Duties and Responsibilities
•Schedule meetings including appropriate process to secure conference rooms and TelePresence as needed
•Maintain and manage Supervisor’s calendar
•Records meeting minutes
•Manages travel needs, including reimbursements for such travels
•Relieve management of administrative details
•Support projects as needed to ensure they remain on target
•Manage expense report functions
•Responsible for department supplies inventory including ordering materials as needed
•Responsible for maintaining Organizational Charts
•Maintain SharePoint Forum
KNOWLEDGE, SKILLS AND ABILITIES
•Strong knowledge of Microsoft Office including Outlook, Word, Excel, PowerPoint, and Access.
•Ability to take comprehensive meeting minutes that meet NCQA requirements
•Excellent organizational skills, time management skills, and adherence to deadlines.
•Ability to multi-task
•Excellent verbal and written communication skills.
•Must have good interpersonal relations, and the ability to deal with all levels of staff; must be professional and diplomatic.
•Ability to abide by Molina’s policies
•Ability to maintain attendance to support required quality and quantity of work
•Maintain confidentiality and comply with Health Insurance Portability and Accountability Act (HIPAA)
•Ability to establish and maintain positive and effective work relationships with coworkers, clients, members, providers and customers
- High School diploma or GED required
- 1 year administrative secretarial experience
- High level of experience with computer software programs to support various administrative functions
