POSITION TITLE: Administrative Assistant
CLASSIFICATION: Non - exempt, Full-time, Temporary until September 30, 2013
REPORTING TO : Dual Reporting to: a) Business Office Manager; and b)/ Administrative Assistant in the Office of Admissions
OVERVIEW: Reporting to the Business Office Manager and the Administrative Assistant in the Office of Admission, the Administrative Assistant has primary responsibility for providing confidential assistance to the Business Office and supporting the front office of the Admissions Department.
SUMMARY OF POSITION RESPONSIBILITIES:
Business Office Answer incoming telephone calls/ clear voice mail messages and respond appropriately Process student payments Provide one on one help to students who walk-in Assist with collecting A/R balances (including outgoing phone calls) Research student inquiries, account history questions Assist in over-all Business Office daily routines, filing, organizing, monthly/yearly reporting requirements
Admissions Office Functions as receptionist; answering telephone, responding to walk-ins, responding to routine inquiries and referring to appropriate staff. Opens and prioritizes incoming mail Enters inquiries and applications into Jenzabar on a daily basis Maintains file system for all applicants Keep front office stocked with all appropriate publications and supplies Meets with prospective students and assists with the processing of student files Works on projects, as assigned
QUALIFICATIONS: Must have strong interpersonal communication skills Must have computer skills including email and word-processing At least one-year experience in student services preferred Must be able to handle fast-paced, multi-tasked work environment
