Summary: The Administrative Assistant will perform administrative work of a complex nature for the assigned Attorneys. Responsibilities include general office functions and the management of day-to-day assistant duties including meetings, travel, phone calls, travel expenses and calendars. The Assistant will be responsible for planning and delivering all logistic details for internal meetings. Will compose and prepare routine correspondence for signature and independently prepare reports, spreadsheets and presentations. Will establish and maintain a variety of files and records of a highly confidential nature. Work is performed under the general supervision of the Attorney or other designate.
The ability to interact with senior executives (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Attention to detail is equally important.
The Administrative Assistant will: · Be responsible for calendar management, requiring interaction with both internal and external guests. · Set up and maintain legal files. · Assist attorneys with preparation of presentation materials. · Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner. · Process invoices for payment. · Arrange travel schedule and reservations for attorneys as needed. · Be responsible for planning and delivering all logistic details for internal meetings, including venue selection, set-up, food and beverage. · Compose and prepare routine correspondence for signature and independently prepare reports and spreadsheets. · Maintain regular contact with co-workers and other department members and willingness to help when needed. · Complete additional assignments as needed.
Qualifications
High school degree required plus additional experience equivalent to 2 years of college. · Excellent calendar management skills, including the coordination of meetings. · General office experience, strong computer skills, highly organized; efficient time management skills. · Experience assisting management with the creation of PowerPoint presentations. · Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook · Experience scheduling travel arrangements for management.
