Oakwood Worldwide is seeking a highly motivated Administrative Assistant to support two Vice Presidents handling their day to day calendars and travel arrangements as well as acting as liaison with their Regional Managers and staff and company leadership. The ideal person for this role will be happy in a collaborative team environment and possess a high level of initiative.

Essential Duties and Responsibilities are to provide general administrative support including:
  • Answering, screening and managing incoming phone calls, faxes, mail and email
  • Providing calendar management for the VP’s, scheduling and coordinates meetings, conference calls, ordering and setting up meals for meetings and events
  • Maintaining and reconciling various Regional Office reports and administering invoices
  • Scheduling travel arrangements, including airline, car, hotel, and preparing detailed itineraries as needed
  • Drafting correspondence, memos, and assisting in preparing presentations
  • Preparing, reviewing and managing expense reports
  • Responsible for gathering and conducting research on request to complete bud get reports and financials for the Regional Manager and the team
  • Creates new forms/reports for the Region as needed
Minimum Requirements:
  • Excellent customer service and communication skills (both verbal and written)
  • Strong attention to detail with the ability to read and interpret documents, procedures and spread sheets
  • Strong organizational skills, initiative, follow through, and a proactive team approach
  • Intermediate to advanced skills in Microsoft Word, Excel, Power Point and Outlook (skill assessment will be administrated)
  • Must have the ability to apply concepts of basic algebra and geometry
  • Experienced problem solving in a fast paced environment
  • Ability to travel occasionally to events with the Vice Presidents
  • One year certificate from college or technical school; or 1 year related experience and/or training; or equivalent combination of education and experience
