Administrative Assistant - Northborough, MA

The Administrative Assistant is responsible for all the administrative work for the VP of SLS Global Technical Support, the VP of Applications R&D, the Sr Director of Process Development Services, and the VP of Biopharm PASS USA..

RESPONSIBILITIES:
Ensure maintenance of office equipment including printers.

Schedule and coordinate meetings, appointments, travel arrangements and expense reports for senior managers (listed above).

Help preparing Stage / Gate deliverables for R&D Project Managers

Organize/coordinate senior management meetings, customer visits, and trainings at Pall Northborough/Westborough including scheduling, travel arrangements for visitors, meals, handouts, etc.

Responsible for KRONOS (payroll timekeeping software) as site administrator for ARD, SLS, and PD Services departments, which includes maintaining employee timecards and requests, adjustments, and acting as liaison between site and payroll department.

Schedule/coordinate Global SLS/ARD technical team meetings/webinars for Pall separations technologies.

Assist in the establishment and organization of a repository of technical information for global access to best practices, technical tools, reports, applications briefs, etc. for each of our technical teams.

Organization, inventorying, and shipping of test filters and equipment to the field for the Americas.

Organize interview schedules for new candidates

Provide SAP administration and training.

Provide training to new hires on enterprise systems used at Pall.

Record and monitor capital and expense spending for departments

Order office supplies and monitor inventory

Assume receptionist duties when necessary

Maintain clean and safe work environment in the office.

Transcribe and distribute minutes of meetings.

Sort and distribute incoming correspondence

REQUIREMENTS:
Five (5) years or more with a High School diploma working with management.

Two (2) to three (3) years with Associates degree working with management.

Proven experience utilizing MS Word, Excel, PowerPoint, Visio, KRONOS, ADP, SAP, and Internet skills

Proficiency in Lotus Notes.

Demonstrated experience working in cross functional teams with geographically dispersed locations, effective verbal communications, written correspondence, travel/meeting arrangements, meetings, expense reporting, project tracking, payroll software entries, ordering office supplies, organization, and interpersonal skills.
