Well established privately held company is seeking a dynamic, polished, highly organized Executive Assistant to join the team and directly support the President and other Senior Executives. This is an exciting opportunity to join a talented team of individuals in a role offering substantive work, professional growth, and the ability to be a key contributor to the continued success of the organization. The ideal candidate must have previous experience working alongside a C-Level, President, or other Senior Executives. College degree a plus but will consider equivalent combination of education and related experience. The successful candidate will be self-directed, highly skilled, results-driven and have excellent computer and technical skills, including proficiency in Microsoft Excel, Word, Outlook and Powerpoint. Must be a team player, show initiative, possess exceptional verbal and written communication skills and be able to interface professionally with all levels, both internally and externally. The ability to follow through and follow up is critical. Must be able to adapt quickly to meet changing deadlines and priorities and possess strong verbal communication skills, be efficient in managing and implementing processes and procedures, and problem solving. ESSENTIAL DUTIES AND RESPONSIBILITIES Manage extremely busy calendar, requiring interaction with both internal and external executives and assistants Arrange complex travel schedule and reservations for executive management Compiles and maintains monthly expense reports. Event planning (company events, board meetings, presentations) Organize and maintain an extensive filing system (both electronic and hard copy formats) Assist with Marketing initiatives Registers executives for ICSC conferences and events. Assist in compiling ad hoc information requested by investor Prepares outgoing mail, correspondence, email and faxes Strong detail orientation, planning and organizational skills. Ability to stay focused on long-term objectives while supporting daily needs Organizing and attending meetings and taking meeting minutes to distribute. Collaborate across various company departments and work sites including senior management, employees, customers, business partners and outside vendors. Assisting executives with preparation of presentation materials Review and summarize miscellaneous reports and documents Maintain a high degree of discretion in all correspondence
EDUCATION and/or EXPERIENCE Bachelor's Degree preferred. 5+ years experience in an executive or personal assistant role. Exposure to construction project management and finance preferred. Must be able to read, analyze and interpret complex financial reports and legal documents. Must have good overall communication skills and the ability present information to management, investors and public groups with well developed public speaking skills. Must be confident and decisive in stressful situations and tight time frames and exhibit maturity, tact and diplomacy
