POSITION: Administrative Assistant
LOCATION: Euclid, Ohio
REPORTS TO: Accounting Manager

Primary Function:
The Admin will be an energetic, self-motivated, experienced individual with a strong attention to detail and exceptional work ethic. This person will be the first point of contact as a representative of the company and must provide excellent customer service in a friendly and professional manner. We have a dynamic team culture and need an open-minded individual who has a “roll up your sleeves†attitude with a willingness to do whatever is necessary to get the job done. Provides general office support with a variety of clerical activities and related tasks.

Specific Responsibilities
  • Perform general administrative functions including filing, copying, faxing, scanning, purchasing, mail distribution and maintaining office environment
  • Answer and screen incoming inquiries and respond appropriately, routing phone traffic appropriately, take and retrieve messages, provides caller with company information (address, directions, etc.)
  • Provide administrative support to the Operations and Finance team (payroll, AP, purchasing, HR)
  • Receives, sorts and forwards incoming mail; maintains and routes publications
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies as well as shop materials, coordinate receiving (i.e., labeling, MSDS filing)
  • Coordinate and book all aspects of travel (i.e. air, hotel and car) for employees and candidates
  • Provide backup in absences for shipping, purchasing and proofreading
  • Event coordination (picnic, parties, employee luncheons, etc.)
  • Assist Accounting Department with various other functions as needed
  • Perform other related duties incidental to the work described herein
Skills and Abilities Required
  • Possession of a high school diploma or equivalent (GED)
  • 6 months to 1 year of relevant experience and/or training, or equivalent combination of education and experience
  • Possession of strong organizational skills
  • Excellent verbal and written communication skills. Possess exceptional interpersonal communication skills
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Able to work collectively with the administrative team members
  • Computer skills required, preferably MS Office Suite
Physical Demands
  • Regularly required to speak and listen
  • Required to use hand to type, handle objects and paperwork
  • Required to reach and hold on to items at chest level or reach above the shoulder
  • Required to use close vision and be able to focus
  • Frequently required to sit, stand and bend at the knee and waist and move about the facility
Work Environment
  • Generally works in an indoor office environment and may perform work for various departments
  • Exposed to any number of elements, but none present to the extent of being disagreeable
