Progressive AE is actively seeking a creative, highly talented administrative assistant to assist our architectural teams. This position will provide overall administrative support to the architectural teams by preparing correspondence, contracts, and other written documentation and other administrative duties as needed.

Essential Functions
Operate office equipment such as copiers, scanners and phone systems.

Use software programs to prepare spreadsheets, do word processing, maintain databases and other applications.

Create, compose and edit administrative correspondence and technical documents with thorough audit and application of formatting, grammar, spelling, and punctuation.

Review work done by others to check for correct spelling and grammar and recommend or provide revisions to ensure company standards are being met.

Learn to operate new office technologies as they are developed and implemented.

Coordinate the flow of information both internally and with other organizations.

Set up meetings using Microsoft Outlook.

Prepare contracts and specifications using AIA and BSD software.

Prepare proposals, open new projects, track project progress, etc.

Track and process shop drawings and RFIs.

In-house contact for assigned professional staff.

Track and organize certificates of insurance.

Prepare contracts.

Back-up receptionist and hostess duties as needed

Minimum Requirements - Experience
Minimum of five years related experience required.

Exceptional verbal and written communication skills
Excellent interpersonal skills
High level of accuracy and attention to detail
Proficiency in Microsoft Office, Word, PowerPoint, and Excel
Ability to organize and prioritize multiple tasks with timely and accurate completion in a fast paced environment
Able to work with minimal supervision, self-starter, and enjoys working in a team environment
Deadline and results oriented
Knowledge of AIA, Deltek Vision, and MS Project preferred
Must be able to maintain a high level of confidentiality regarding all employee and corporate matters

Preferred Requirements
Associates degree preferred
