The Prospect Park Alliance, working in partnership with City of New York and the community, restores, develops, and operates Prospect Park for the enjoyment of all by caring for the natural environment, preserving historic design, and serving the public through facilities and programs. Prospect Park is Brooklyn’s 585-acre historic flagship park, designed by the famed Olmsted and Vaux. It is the home of Brooklyn’s only lake and forest, with nature trails, numerous recreational activities, educational programs, and volunteer opportunities.

The Prospect Park Alliance seeks a qualified, experienced individual to work as a full-time Administrative Assistant in support of two of Prospect Park’s most dynamic departments, Design and Construction and the Volunteer Corps.

Reporting to the Vice President of Design and Construction for half of each week, the Administrative Assistant will interact with a small staff of landscape architects, architects, and an archivist while working on a variety of design and construction assignments. For the balance of each week, the position reports to the Director of the Volunteer Corps, collaborating with a team of motivated project coordinators to support volunteer events throughout Prospect Park.

Responsibilities for both departments include performing general administrative duties; managing office supplies, financial records, billing, and departmental databases; coordinating with other departments; overseeing records management to ensure proper retention and disposal of departmental documents; undertaking a variety of research and writing tasks; and providing support while managing a short- and long-term workload. Specific responsibilities for Design & Construction include assisting with project management, including designing and preparing materials for presentations and submissions, and archiving; managing billing and insurance certification for large, public projects; and completing a wide variety of on- and off-site tasks for the VP of Design & Construction. Specific responsibilities for the Volunteer Corps include liaising with government agencies and the public; supervising administrative volunteers; coordinating volunteer projects for other departments; and assisting with supply distribution and volunteer registration for large-scale outdoor programs.

Candidates for the Administrative Assistant Design and Construction and Volunteer Corps must be proficient in Microsoft Windows, Word, Excel, and PowerPoint, along with other basic office software; experience with Adobe Photoshop and Illustrator and AutoCAD is a plus. Excellent verbal and written communication skills and friendly, professional customer service skills are required, as well as strong organizational skills and attention to detail. The ability to multi-task in a fast-paced environment is essential. The successful candidate will be flexible and a self-starter who is able to work both independently and as a cooperative team member. A license valid in the state of New York is required, as is the willingness to drive Parks vehicles. The ability to work occasional evening and weekend events is a must.

The schedule for this position is 40 hours per week, Monday through Friday. The salary range for this position is $30,000-$34,000, depending on experience.

The Administrative Assistant Design and Construction and Volunteer Corps position is eligible for benefits including a tax-deferred 403(b) plan.
