As an Administrative Assistant, your responsibilities involve the proper and timely completion of Administrative related duties and functions primarily residing in the following departments and areas: Finance & Operations Departments. Key Roles and Responsibilities
Maintain Calendar for VP of Manufacturing
Logistically organize Internal & External meetings & functions for Global Operations team & external visitors
Maintain confidential information and ensure the security of such information.
Assist in editing & updating of various company documents as required
Manage all shared filing systems (hard and soft copies), including the organization of files containing all relevant company forms and documents.
Collect and distribute of building 50 main fax line inbound fax documents to the proper personnel.
Monitor and order Building 50 office supplies including paper.
Receive and distribute incoming, outgoing, and interoffice mail.
Manage the organization of the 50 East Industrial building/facility, including the visitor entrance area, the employee entrance area, conference rooms, copy/supply room. In doing so, managing would mean such things as: Keeping these areas clean and neat. Report to the IT Department any noticed/potential technical related issues/concerns with any of the phones, printers, or presentation related equipment.
Alert the nightly cleaning crew to any specialized cleaning requirements for the building.
Provide primary coverage of the company’s main front door entry area each day. This would include greeting guests/visitors & informing staff of visitors.
Assist with employee and recruit travel arrangements.
Process travel reimbursements and expense reports as needed
Manage & maintain the Administrative and Conference Room Calendars i.e. Arranging/scheduling meetings, updating calendars as needed for these individuals, arranging for food to be brought in if necessary and proactively handling any needed clean up logistics following each of these meetings.
Develop and maintain a comprehensive knowledge of local resources (i.e. meeting facilities, restaurants, public transportation, restaurants, etc.); provides information to visitors and staff.
Effectively cross train other administrative personnel on all the main functional areas listed above, in order to provide for back-up coverage in the amount of absences due to illness, or the like.
