This position functions as an integral member of the Americas Institutional team. This position will provide administrative, technical, and project management support to the department team members.
The responsibilities of the individual in this position include:
Maintaining and managing the schedules of 3 department Directors.
Coordinating global multi-party meetings and conference calls.
Arranging complex travel arrangements with detailed itineraries.
Administering day-to-day activities by anticipating what information and data will be needed for appointments, meetings, and business travel.
Screening telephone calls and correspondence appropriately.
Reviewing and responding to e-mail correspondence.
Planning and organizing multiple projects while successfully meeting competing deadlines.
Preparing detailed meeting agendas.
Preparing correspondence and documents while editing for correct grammar, punctuation, spelling context and format, including quick turnaround of PowerPoint presentations.
Researching information using the Internet.
Compiling and filing expense reports using multiple currencies.
Keeping track of meeting notices and calendaring items appropriately.
The position requires a high level of professionalism, exceptional customer service, communication and organizational skills.
This position also requires strict adherence to treating sensitive information on a confidential basis.
Assist and cooperate with other teams as needed, including assisting other team members during busy periods and to provide coverage in the absence of other team members.
Other projects and duties as assigned.
Project Coordination- Assist with department projects as needed
Technical Support-Maintain accurate data, exhibits and presentations for clients and the department using SalesLogix, RADAR, Sharepoint and other systems as needed
The successful candidate will have extensive demonstrable skills and experiences including the following:
Bachelor's degree preferred.
Minimum 5 years increasingly responsible administrative experience (or combination of education and experience).
Investment industry experience preferred.
Project management experience.
High level of professionalism - confidentiality, discretion, judgment, team player.
Proficiency with spreadsheet applications, data manipulation, presentation software, advanced word processing, database applications, and Russell specific software.
Judgment, discretion, and knowledge to respond directly to prospect/clients requests when appropriate.
Ability to work effectively under tight deadlines and take initiative to work necessary overtime.
Ability to work independently with little supervision.
Ability to prioritize assignments according to business needs and juggle multiple and conflicting deadlines.
Excellent written and verbal communication skills.
Excellent follow-up required.
Knowledge of the investment business and products.
Advanced PowerPoint Presentation Skills.
Strong time management skills.
