As the right hand to the President/CEO and four Directors, you will be given administrative tasks including but not limited to correspondence with government agencies, travel and meeting arrangements, assist with project and events planning, plus. The ability to multi-task is essential, as is being a motivated self-starter who is organized, independent, and detail-oriented with high personal standards for your work.
This opportunity is ideal for an experienced administrative professional with excellent communication and computer skills (Word, Excel, Outlook, PowerPoint, and various search engines).
Requirements: Minimum of 0-5 years Administrative Assistant experience working with senior executive(s). Ventura county area residents are preferred candidates as relocation is not available for this position.
Maintains alphabetical, numerical or subject filing systems.
Receives incoming faxes, telephone calls and visitors and routes to appropriate department by exercising judgment regarding content and priority.
May assists in the preparation of reports, graphs, and presentations using spreadsheet and graphic software.
May assist in the preparation of new hire orientations
Acts as an informed source of company benefits, policies and procedures by answering routine questions or routing to appropriate employees for answers.
Schedules appointments and travel; maintains up-to-date appointment calendar; ensures that the President/CEO is informed at all times of scheduled commitments.
Routinely plans and coordinates conferences, meetings and events by coordinating calendars, assist in scheduling catering, ordering audio-visual equipment and working with facilities to ensure room configurations.
Conducts all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational data by storing documents carefully and not disclosing company proprietary information except on a need-to-know basis.
Orders office supplies and equipment, and performs or arranges for routine maintenance of basic office equipment.
May assist in the coordination of special projects and department activities.
Assures that appropriate resources (personnel, tools, etc.) are maintained to ensure appropriate productivity
Performs complex or specialized assignments usually in the nature of projects, requiring working independently.
Coordinates the production and distribution of materials (i.e., manuals, reports, brochures, etc). Develops and adheres to timetables, coordinates meetings/events.
Functions independently with minimal supervision and work may be done without established procedures. May determine methods and procedures on new assignments and may provide guidance to other support personnel.
