Description - The Administrative Assistant is an integral part of the HR Solutions department. With responsibility for ensuring all clients and their employees receive extraordinary service, the Administrative Assistant must be professional, caring, and genuinely interested in delivering exceptional customer service

Responsibilities & Activities:
  • Answer phones* Route calls as necessary
  • Take and deliver detailed messages as necessary
  • Print all pay checks and package them
  • Ensure that all packages are sent out for delivery timely and monitor the deliveries
  • Scanning of all payroll reports and emailing to clients
  • Order all office supplies
  • Ensure that all supplies are kept stocked at appropriate levels
  • Prep all paperwork for all departments for scanning and send to appropriate personnel
  • Maintain and update Master Client List with all pertinent information
  • Create all new client files
  • Create and send out client specific emails and bulk mailers
  • Send all certified letters to terminated employees
  • Create and send new hire reporting on a bi-weekly basis
  • Respond to unemployment notices (lack of work)
  • Employment Verifications
  • Conduct regular I9 audit to ensure compliance
  • Ensure all I9s are verified properly
  • Open and distribute all mail
  • All filing
  • Assistance with sales staff in generating proposals
Additional Job Duties:
Additional administrative duties as assigned

  • Will learn more and take on additional duties as skill level increases
