SimIS is looking for a detail-oriented, hardworking, experienced, energetic and personable Office Administrative Assistant to join our team.
The responsibilities for the Office Administrative Assistant role include:
o Coordinate scheduling for the CEO and department Directors.
o Provide general administrative support to CEO including general office administration tasks and coordination with other departments as requested.
o Create, format, produce and edit correspondence and other written materials for internal and external use.
o Research and coordinate various activities and details associated with meetings, conferences, training workshops, retreats and business trips.
o Perform general clerical duties to include but not limited to: photocopying, scanning, faxing, mailing, and maintaining an organized office environment and filing system.
o Answer telephones and transfer to appropriate staff members. Meet and greet clients and visitors.
o Monitor, respond to and distribute incoming communications.
o Prepares reports by collecting and analyzing information.
o Maintains customer confidence and protects operations by keeping information confidential.
o Responsible for ensuring all corporate profiles and registrations are current.
o Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
o Ensures operation of basic office equipment to include printers and fax machine.
o Completes projects/tasks timely and following up on results.
o Contributes to team effectiveness by supporting related efforts as needed.
o Perform other related duties as required.
o Minimum requirement is for a High School Diploma plus appropriate employment experience. Preference will be given to candidates with an Associate’s degree or higher.
o A minimum of 2 years experience working as an Administrative Assistant, or related equivalent education and experience as determined applicable by the Director. A qualified candidate must possess a range of clerical and administrative skills.
o Proficiency in all the features of Microsoft Office.
o Strong verbal and written communication skills.
o Ability to work well independently and with others in an office setting.
o Strong organizational skills
