The Administrative Assistant (AA) performs a variety of support tasks for the Inkster Community Engagement Team (ICE). The AA works with the Community Project Director, ICE staff and community partners to ensure that community project goals are met. The AA assures that there is positive and timely communication and relationship development with all parties, and ensures the seamless entry of families into the family literacy continuum. The AA is also responsible for supporting the ICE team and its partners in use and maintenance (i.e. data entry) of a program participation database and tracking system.
Education and Experience Required:
Associates Degree preferred.
Minimum of five years previous experience in a comparable position required.
Knowledge, Skills and Abilities Required :
Knowledge of organization, subject matter procedures, instructions, and guidelines of the Community Engagement workgroup.
Knowledge of the techniques of receiving callers, making appointments, and giving information.
Ability to follow complex instructions.
Ability to use diplomacy, discretion, and judgment in giving out information and referring callers.
Ability to maintain composure during stressful situations occurring as a result of workloads and/or deadlines.
Ability to communicate effectively both orally and in writing.
Facility with working with urban communities, communities of color, faith institutions, agency directors, school administrators and Starfish clients in a friendly, courteous, and professional manner both by phone and in person.
Computer literate, with working knowledge of Microsoft Office Suite and ability to use and maintain a l computer.
Experience with data systems, including efficient data entry and creating basic reports.
Willingness to adapt and adjust work schedules to assist in fulfilling responsibilities
Valid Drivers License, reliable transportation, and proof of auto insurance.
Must be self-directed in completion of tasks conducted under short timelines.
Ability to work cooperatively and smoothly with supervisor, colleagues, and all agency personnel.
Ability and willingness to maintain confidentiality of all appropriate information.

Principle Duties and Responsibilities :
Provides administrative support to the Community Project Director and Inkster Family Literacy Coalition.
Acts as liaison between Inkster Community Engagement Team and Inkster community partners. This includes scheduling meetings, events, focus groups and disseminating information.
Works with Family Literacy Coalition to ensure seamless entry of families into family literacy programming.
Receives incoming calls and visitors. Makes referrals to appropriate staff or provides requested information.
Order office supplies and ensures proper maintenance of office equipment.
Designs, revises, and/or establishes instructions for the work area.
Inputs and maintains data for the Inkster Community Engagement database. Assists Coalition partners with data collection for this system, when needed.
Reviews documents, reports, forms, records, or other materials for content, completeness, or accuracy.
Responsible for working with team members, supervisor, child, families and community contacts in a manner that is conducive to the philosophy and mission of the agency.
Answers inquiries regarding functions, rules, regulations and policies.
Type, copy, file, and disseminate paperwork related to the agency administrative functions and maintain appropriate record keeping systems in an accurate and timely manner.
Run errands and pick-up and deliver goods and materials as necessary.
Present a positive image to the public in a friendly and courteous manner.
Cooperates in any investigation related to personnel, licensing, accreditation or other circumstances.
Attends all agency and departmental meetings and training as required.
Perform other reasonably related duties as assigned by the community project director.

PRE-EMPLOYMENT REQUIREMENTS: The successful candidate for this position will be required to provide 3 letters of recommendation, satisfactorily complete a drug screen, TB test, national and state background check and DHS clearance (additional items may be required dependent upon position).
Minimum rate: $13.51 / hour
