Job Description

This position exists to support the Vice President of Sales Strategy and Operations. Support provided varies broadly from coordinating complex meeting and travel schedules, to ensuring the right communications are sent out on behalf of the position, and working with presentations and construction documents requires high level of communication and the ability to represent the office in a competent, professional manner.

35% - Coordinate travel for entire department. First vet out schedules to confirm if travel is feasible. Validate costs. Once approved, book travel and track logistics through completion. Process expense reports in a timely manner. This is a demanding role given the Sales function of the department.

15% - Coordinate calendar logistics for Vice President. This includes setting up new meetings, responding to requests for meetings, and taking the initiative to resolve schedule conflicts pro-actively. This will often require complex scheduling scenarios involving other Sales members and trying to balance requests from direct reports vs outside constituents. Also includes scheduling meeting rooms, setting up refreshments and meals, and IT equipment. Typical week involves coordinating 15 meetings.

15% - Assist in the preparation of presentations and reports using Excel, PowerPoint, SharePoint and Word. Assemble and format team reports on a regular basis. Understand where to find and file critical documents including design documents. Organize photos of projects on network folders and SharePoint for easy access by team.

15% - Support the Sales function through Purchase Order transmittals, invoice processing, and requests from information from vendors.

20% - Be ready to assist with general tasks as needed for Vice President. This includes fielding messages, helping facilitate IT issues, ensuring the right priorities are addressed in a timely manner, helping to set up team outings and off-site conferences, handling construction documents and project files.
