The Administrative Assistant for University Advancement is responsible for initiating, coordinating, and reporting a wide range of activities in support of fundraising at Stevenson University. The Assistant reports to the Director for Corporate, Foundation and Government Relations and works with all members of the development and alumni relations team to meet the goals and objectives defined in Stevenson's strategic plan.
Bachelor's degree plus three years of administrative experience, preferably in a higher education fundraising/development office or an equivalent combination of education and experience. Experience with the grant proposal process and prospect research preferred.
Superior organizational skills, efficient work habits, meeting scheduling skills, superior attention to detail, and the ability to work well with other departmental personnel on campus as well as external contacts, trustees, alumni, donors, and prospects Excellent written and oral communication skills Ability to write clear and concise business correspondence, including strong proofreading skills Strong time-management skills and the ability to prioritize tasks assigned within the team, including meeting deadlines Proficiency in Microsoft Word, Excel, PowerPoint, ability to use mail merge, and other programs as needed, as well as a desire to acquire new computer skills, specifically the fundraising computer software used by Stevenson (Ellucian/Datatel). Ability to conduct prospect research, including knowledge of research tools such as WealthEngine, Lexus/Nexus, Prospect Research Online by iWave, etc. Ability to act independently yet function as a member of a team will be considered a tremendous and necessary asset. Ability to work occasional evenings and weekends as needed.

Provide general clerical and administrative support for the Director for Corporate, Foundation and Government Relations and other members of the University Advancement team. Coordinate appointments with donors, prospective donors, and internal faculty and staff of Stevenson University. Coordinate packaging proposals, reports, and other documents, including routing documents for internal review and signatures. Assist with the proposal management process for large corporate, foundation and government grant requests. Assist with and maintain grant tracking form to log submission deadlines, decision dates, and reporting due. Maintain corporate, foundation and government files, both paper and electronic. Prepare executive briefings on corporate and foundation prospects for scheduled appointments. Conduct prospect research on individuals, as well as corporate, foundation and government agencies, working in collaboration with the Advancement Services team. Assist in preparing call reports and Ellucian/Datatel entries for all corporate, foundation and government visits and proposals submitted. Assist with the compilation of information needed for donor stewardship reports. Coordinate room scheduling, catering, parking, and travel arrangements for corporate, foundation and government appointments on campus and off-site. Work with the Annual Giving team to produce direct mail products, including mail merge, printing letters and envelopes, and monitoring student workers. Coordinate and work collaboratively with the Assistant to VP for University Advancement. Work and interact well with the Office of the President, the Office of the Vice President for Academic Affairs and Dean, and the Business Office. Perform other duties as assigned.
