Job Title:
Administrative Assistant

Basic Function

Responsible for providing administrative support to the Chief Technology Officer (CTO) and the IT Department.

Essential Duties and responsibilities

Coordinate departmental and/or individual meetings for the senior managers in the department.

Manage department calendars for the senior managers.

Provide effective general administrative support for the senior managers and department.

Maintain appropriate files and documentation, including electric filing. Knowledge of department record retention periods and use SHA process and guidelines to store documents off-site.

Assist in the development of documentation and/or consolidation of reports and other departmental documentation.

Utilize various data resources (e.g. internal business intelligence) to conduct research to assist in preparing presentations.

Coordinate travel and assist with expense reports as requested.

Manage departmental communication as required (telephone, email).

When requested coordinate candidate interview process, including travel arrangements if required.

Coordinate departmental training as requested.

Creating and preparing presentations and reports.

Coordinate, set-up and clean up departmental catered events, as requested.

Prepare work area, order equipment, and process necessary paperwork for new hires within work area.

Process check requests as needed.

Process invoices as needed.

Office supplies, as requested, including ordering.

Provide back-up to other Executive and Administrative Assistants as needed.

Other duties may be assigned as required to provide office support.

Job Qualifications

Bachelors degree or equivalent experience.

Minimum of three to five years administrative experience, supporting individuals at all levels.

Other Knowledge, Skills, Abilities or Certifications:
Ability to work with all levels of employees within an organization

Proficiency and experience in core MS Office Suite programs such as Outlook, Word, PowerPoint, and Excel essential. Experience in Access and Visio preferred.

Strong attention to detail and accuracy

Knowledgeable in making on-line travel arrangements

Strong organization skills with the ability to multi-task and prioritize in a fast-paced environment

Excellent written and presentation skills

Excellent time management skills

Ability to be able to work flexible hours when required.
