The Marlin Alliance, Inc. is seeking an Administrative Assistant in San Diego, CA. The candidate will provide administrative support for executive management clients. He/she will exercise independent judgment in the resolution of administrative issues, and manage multiple projects simultaneously with little or no supervision.
This position is contingent upon award of contract. Anticipated travel is minimal (< 25%). Salary is commensurate with experience. The candidate must have or be able to obtain a Secret clearance.
Essential Duties and Responsibilities Manage executive calendar. Interact with internal and external executives and assistants to schedule variety of business meetings. Handle incoming and outgoing phone and electronic communications on behalf of executive management. Route incoming calls to appropriate party quickly and efficiently. Coordinate travel arrangements and reservations for executive management, as required. Independently create well-organized, grammatically correct memos and reports for distribution to members of various departments. Analyze unit operating practices such as record keeping systems, forms control, office layout, and personnel requirements. Create new systems or revises established procedures. Assist with special events planning. Use various software applications such as spreadsheets, relational databases, statistical tools, and graphics packages to assemble, manipulate and/or format data and reports for executive audiences. Maintain highest level of confidentiality. Exercise administrative judgment. Assume responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area.
Other Duties & Responsibilities Provide monthly progress reports and identify potential growth opportunities to the designated Program Manager. Perform other duties as assigned by the client or Program Manager.

Minimum Qualifications (Education, Experience, Skills) High School Diploma or GED is required, Bachelor's degree is preferred. Three or more years of experience as an administrative assistant is required. Five or more years of experience as an executive assistant in a C-level setting in preferred. Experience with the Space and Naval Warfare Systems Command (SPAWAR) is preferred. Working knowledge of Microsoft Office software suite (Access, Excel, Word, PowerPoint, and Outlook) is required. Excellent workload management, interpersonal, oral and written communications, and proofreading and editing skills are required. An active Secret clearance or the ability to obtain one is required. Must reside in the San Diego area or be willing to relocate at own expense (no relocation funds will be provided).
