DESCRIPTION

Provides administrative support and performs a variety of administrative duties for the Chief Lending Officer (CLO) and Chief Financial Officer (CFO), as well as other Administrative department personnel.

Work is performed independently on routine assignments, and receives minimal instruction on non-routine assignments. Must also maintain a high degree of confidentiality; be able to handle a high volume of work and is comfortable with an unpredictable workflow.

DUTIES

1.Prepares correspondence from notes, and may include initiating correspondence and
documents.
2.Coordinates complex meeting and travel arrangements for departmental personnel,
subject to review.
3.Reviews and updates computer/paper-based business records.
4.Develops and maintain reports with limited direction. Exercises some choices in data collection.
5.Performs administrative duties to include answering phones, filing, faxing, scanning,
initiating check requests, and maintaining follow-up files.
6.Communicates and coordinates a variety of information with customers, vendors and
employees.
7.May identify, initiate, and implement routine administrative improvements.
8.Sorts and distributes incoming and outgoing mail.
9.Organizes special events as needed.
10.Orders/maintains office inventory and furniture, and may maintain inventory in storage
areas.
11.May train new or temporary employees.
12.Handles special projects as assigned.
13.Prepare check requests and Visa reconciliation reports, and track on-going expenses against budget to ensure correct General Ledger Accounts have been charged.
14.Accurately prepare and maintain all reports, including month end loan reports for the CLO.
15.Arrange appointments and manage calendars for both the CLO and CFO.
16.Sit on various committees as requested by Management.
17.Set up meeting for CLO and CFO. Upon request, attend meetings, take notes and provide
summary of the meetings to attendees. Follow up meetings to be scheduled as requested by CLO and CFO.
18.Handle all internal and external calls in a professional manner and assist members when they call as needed.
19.Print and file all month end Financial reports for the CFO.
20.Follow credit union policies for compliance with all laws and regulations, specifically, but
not limited to, the Bank Secrecy Act, Security Policies and Confidentiality Policies.
21.Act as confidential assistant in support of the CLO and CFO. Demonstrate considerable
judgment, tact, creativity and initiative in these duties.

QUALIFICATIONS

Education: High School diploma or GED. Associates degree preferred

Experience:
At least two or more years of progressively more complex administrative experience required.

Knowledge and Skills: Good organizational/time management skills and must maintain a professional image. Ability to work under limited supervision. Good interpersonal/communication skills, including persuasion, interpretation and discretion. Close attention to detail with a high degree of accuracy. Knowledge of Office Programs. Excellent grammar skills to develop basic composition. Basic math skills and knowledge of organization structure, policies and protocol. Maintains high level of confidentiality and professionalism. Utilizes computer and general office equipment.
