Role Summary:
The Administrative Assistant supports the Senior Vice President of Business Development and Strategic Planning. Provides administrative support for team of seven that oversees new business opportunities, new technologies and strategic direction for Universal Pictures. Additional areas for the team include greenlight modeling, talent deal analysis, mergers & acquisitions and analyzing industry trends. The team, Senior Vice President and Administrative Assistant work closely with high-profile management across Comcast and NBCUniversal (including the Chairman, Co-Chairman & President of Universal Pictures) and worldwide (including Universal’s product lines such as Universal Pictures International and Focus Features). The Administrative Assistant develops, implements and improves office procedures. Provides general office support functions and any other duties as assigned. Will regularly engage in Internet research, preparing presentations and other special projects.

Essential Responsibilities:
  • Meeting support - preparing agendas, decks, etc.
  • Answering phones, rolling calls, and managing the call log
  • Travel coordination
  • Meeting coordination
  • Processing expense reports
  • Xeroxing, filing, maintaining/ordering office supplies
  • Maintaining library
  • Messenger, FedEx shipping
  • Maintain rolodex/contact lists
  • Additional duties will include administrative support on Special Projects, conducting research related to film greenlighting and any additional projects as required

  • Qualifications/Requirements
    Basic Qualifications:
  • At least one year of administrative experience at a talent agency, management consulting firm, law firm or corporate environment
  • Strong proficiency in Microsoft Word and PowerPoint
  • Proficiency with Microsoft Excel and willingness to learn advanced functions
  • Passion for Entertainment and Pop Culture (Film, TV, Music, Sports, and the Internet)
  • Outstanding writing and communication skills
  • Detail oriented self-starter
  • Comfortable with coordinating international calls and video conferences across multiple timezones

  • Desired Characteristics
  • Bachelors Degree highly preferred

  • Research experience is a plus
  • Discretion - In light of considerable exposure to deals and discussions of a confidential nature, maintains a high standard of discretion and integrity in handling of such information
