The Sustainability and Energy Management Department ( SEM ) with Facilities & Safety has an opening for an Administrative Assistant position. This position will be responsible for the daily operations of office functions and provide administrative support to the Director of SEM .
The following are specific duties performed in this position:
Responsible for administrative support functions such as managing confidential personnel documents, overseeing telephone and reception functions, and maintaining files for SEM .
Maintains the director’s calendar and schedules meetings.
Maintains the operating budgets for SEM ; initiates requisitions, assist with purchasing card purchases, and receives invoices for processing from SEM .
Oversees biweekly payroll and the hiring process for SEM .
Manages departmental and administrative reports.
May supervise student assistants including clerical and computer staff.
Collaborates with other departments in Facilities and Safety to work on joint projects.
Initiates and makes travel arrangements for the department staff.
Maintains current inventory for all SEM equipment, supplies, and vehicles.

A high school diploma and seven years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience. Ability to multi-task and prioritize effectively in a high-volume and fast-paced work environment.

Willing to seek out work upon completion of projects.
Prior experience managing agenda items and following through as required.
Proficient with the following: PeopleSoft Financials, KRONOS and Microsoft Office.
