The Administrative Assistant to the Senior Vice President will be responsible to conserve the SVP's
time; ensuring appropriate communication between the SVP, key internal and
external executives, field operations, and employees. The focus of this role is to provide
administrative coverage and seamlessly coordinate the daily work of the SVP. The Admin Assistant will work closely with
the SVP to support the execution of operational priorities and will perform a
full range of administrative responsibilities related to operations. The Admin
Assistant will work with all members of the operations group who are based in
regional offices in Boston, New York and Philadelphia.

Scope & Responsibilities:
  • The
successful candidate must be motivated and understand the critical value of
being trustworthy

  • Must be able
to work in a fast-paced environment with demonstrated ability to juggle
multiple competing tasks and demands

  • Ensure
communications from the office of the SVP are well-coordinated, timely, and
effective

  • Assess the
urgency and importance of situations and take the appropriate action to
determine the necessary level of SVP and/or other executive involvement

  • Schedule and
organize complex activities such as meetings, travel, and department activities

  • Summarize
content of incoming material and data and brief the SVP regarding important
issues or conflicts as they arise

Assure that expense reports are accurately and
efficiently completed for the SVP

  • Manage the calendar, calls, mail and meetings
for the SVP

  • Provide assistance to the executive team on an
as needed basis

  • Compose correspondence on both routine and
complex matters for the SVP

  • Will serve as back-up support for the office
manager on an as-needed basis

Qualifications

  • Bachelor’s
degree Business Administration or related field of study

  • 5 - 7 years'
administrative experience supporting a top executive and handling a wide range
of administrative and support related tasks for an operations team

  • Experience
with an operations focus in corporate or private industry

  • Professional
image with business etiquette and protocol savvy as it pertains to company
representation and client satisfaction

  • Ability to
maintain confidentiality for both the SVP and the company as a whole

  • Ability to
interface, negotiate, and influence at all levels of the organization

  • Excellent
written, verbal and interpersonal skills and ability to professionally interact
with diverse internal and external groups

  • Advanced
proficiency in all areas of Microsoft Office, especially calendar requests

  • Excellent
time management and organizational skills
