Overview:
Individual will provide high quality service half-time to two Executive Assistants who support the CEO, CIO and CIO Emeritus, and half-time administrative support to the Portfolio Managers and Analysts.

Responsibilities:
  • Manage the Company ticket program
  • Answer and route incoming phone calls
  • Process detailed international and domestic expense reports for C-level Executives, PM’s and Analysts
  • Maintain extensive Contacts databases
  • Maintain a comprehensive filing system
  • Provide calendar maintenance support to executives, including conference room scheduling
  • Arrange catering for client, broker and other business visits
  • Various Ad-Hoc projects to be determined
  • Navigate data feeds and electronic information sources
  • Work with Company travel department to arrange extensive international and domestic travel
  • Work with vendors to arrange visas and various other travel related services
  • Welcome, escort and track all visitors on site
  • Assist with department timekeeping
  • Liaise with global offices on behalf of travelling PM’s and Analysts
  • Provide back-up coverage for Executive and Investment Management Admins
  • Assist in supervision of student interns
  • Maintain the Global Credit Presentation Calendar and handouts
  • Prepare and distribute meeting and visit agendas
  • Use of the Onyx CRM system to access client information as needed
  • Other duties to be assigned
Competencies:
  • Approximately six years of Administrative Assistant experience with progressive levels of responsibility
  • Strong organizational skills, including demonstrated typing and telephone capabilities
  • Proficiency in Microsoft Office to include MS Outlook, Word, Excel and PowerPoint
  • Detailed oriented, ability to multi-task, organized and a self starter
  • Ability to communicate with all levels of the business community
  • The instinct, knowledge and ability to operate with the highest levels of discretion
  • Stellar communication skills and interpersonal acumen; articulate, strong command of the English language and accurate grammar

Qualifications:
High School diploma
