This full-time position provides administrative support for multiple departments at NORPAC, a 400+ employee manufacturing facility that produces communication papers – A joint venture between Nippon Paper Industries of Japan and Weyerhaeuser Company.

ROLES & RESPONSIBILITIES:
Provide backup and vacation coverage for Executive Administrative Assistant, Receptionist and other departments as needed. Coverage to include:

Manage heavy calendar activity by resolving conflicting demands; schedule/reschedule meetings, coordinate meeting logistics (conferencing, agenda, catering, conference room preparation, and meeting materials)

Order and manage customer promotional gifts

Arrange lodging, meals, entertainment, logistics, etc. for various meetings, conventions, conferences

Complete on-line travel arrangements for employees

Coordinate mill tours

Answer multi-line phone, greet and assist visitors

Prepare a variety of weekly, monthly and quarterly reports and presentations

Assist Executive Assistant during large mill-wide events

Complete various transactional tasks including reconciling chemical purchases, processing recurring purchase orders, and submitting purchase requisitions

Filing and Data Management

Assist Managing Team Members with computer-related questions/needs

Consistently execute any and all special projects as requested

Other duties as assigned

Qualifications

KEY REQUIREMENTS:
Minimum 3 years of administrative/clerical experience

High School diploma (some college preferred)

High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint).

SAP familiarity is a plus

10 Key Proficiency required

Excellent verbal and written communication skills

Strong interpersonal skills

Detail oriented with high level of accuracy

Ability to maintain continuity of assigned work with frequent interruptions

Flexibility and ability to manage multiple tasks in multi-demand environment

Maintain confidentiality

Ability to work overtime and adjust schedule as needed

Ability to work in team environment with minimum supervision

Demonstrates and projects professionalism with a high degree of diplomacy, tact, and judgment

Excellent attendance history
