This position provides full administrative support to the Vice President, Eastern Regional Manager XL Reinsurance Property Facultative Division and branch personnel.- Provide phone coverage.- Perform account clearance for submissions via our Destiny database from information provided by underwriters.- Duties may also include execution of research, data analysis, and preparing reports/recommendations- Organizes excel spreadsheets according to underwriter guidelines- Provide administrative and clerical support duties in support of branch personnel.- Responsible for scheduling and planning internal and external meetings- Coordinate travel arrangements (including handling bookings of flights, hotels, cars, etc.)- Assist budget management which may include invoice processing, input, problem solving and interaction with finance- Prepare Travel & Expense reports; collect and organize T&E expense receipts and all related duties - General office duties, including maintaining and ordering office supplies.- Open and distribute mail, send faxes, maintain mailing lists. Send Federal Express packages.- Create renewal reports for the underwriters- Maintain the file room by creating file folders, pulling and filing and archiving old files.Standard work day is 8:30 AM thru 5:00 PM with 45 minutes for lunch.Qualifications: - Associates Degree - Minimum of 3 years of administrative experience is preferred- In-depth knowledge of Outlook, MS Word, Excel, and PowerPoint- Ability to handle multiple projects and work independently.- Excellent communication skills both written and verbal - Proactive team player with strong administrative and interpersonal skills- Strong attention to detail with excellent proof reading skills
