Senior Administrative Assistant – Job Description

Reporting
the Solid Ink Product Development Manager, position performs a wide variety of administrative
support and special project assistance for The Solid Ink Product Development
Team. Duties are varied, and often
carried out with a high degree of confidentiality, discretion and independent
judgement.

Main Job Tasks and Responsibilities

·

contribute to a positive work
environment

·

general administrative duties, problem
resolution and inquiries

·

decisions made in the course of work
are related to responding to questions and to applying policies sometimes
without the presence of clear procedures

·

prepare and modify documents including
reports, schedules, org charts, memos and emails on general and technical
subjects

·

prepare agendas, record, compile,
transcribe and distribute minutes of meetings

·

manage staff calendars, meeting rooms
& schedule appointments

·

coordinate domestic and foreign travel
arrangements for staff, including appropriate approvals and expense report
processing

·

maintain confidentiality of sensitive
information and documents

·

receive, sort and distribute mail

·

shipping/courier duties both domestic
and international

·

maintain office supply inventories

·

generation of purchase requisitions,
billing tracking, receipts and deliveries

·

manage inventory of recognition and promotional
items

·

assist with recruitment, new hire setup and orientation

·

input and maintain employee data

·

coordinate employee training and development
activities

·

coordinate maintenance of office
equipment

Qualifications

Education and Experience

·

minimum of 4 years experience as an
administrative assistant in a professional environment

·

college, business or administrative
school a plus

·

computer skills with proficiency in

Microsoft Outlook,
Word, Excel, PowerPoint, and Visio

·

knowledge of clerical and
administrative procedures and systems

·

strong understanding of office procedures
and practices

·

knowledge of operation of standard
office equipment
