We are currently seeking a Center Administrative Assistant for our Houston 1 Center of Excellence. This is a short term position.

Responsibilities: Administrative:
  • Provide support to center VP
  • Maintain/distribute petty cash to AVP’s.
  • Order supplies for entire center
  • POC/liaison for all center maintenance issues (Property Management & Cleaning company, Xerox copiers
  • Manage and distribute all incoming mail and UPS
  • Send unemployment claims to correct party
  • Print and issue badges for new hires
  • Program access badges/delete terminated employee access
  • Vending machines – liaison for repair issues and distribute refunds to employees

Payroll
  • Submit reports to payroll with additional hours/bonuses/vacation (received from AVP’s) for supplemental payroll runs
  • Notify employees/ AVP’s of rejected or returned employee payments. Notify payroll once complete
  • Distribute garnishment notification to employees and notify payroll of any changes (terms)
  • Unemployment hearings – provide witness and contact information for upcoming hearings
  • Scan and forward all payroll forms for employment verifications
  • Gather timesheets for direct reports and submit hours to payroll

Benefits
  • Submit FMLA hours received from AVP’s for agents on FMLA
  • Scan and forward FMLA documents for review/approval

Employee Relations:
  • File online WC claims with carrier
Requirements:
  • BS/BA degree preferred
  • Previous administration experience preferred
  • Excellent communication skills
  • Proficiency in Microsoft Office, call center applications, Excel, PowerPoint and data software
  • Good organizational skills to handle multiple priorities
  • General office background knowledge
  • High degree of confidentiality
  • Flexibility to work long and irregular hours
