The Finance Department at the University of Indianapolis invites applications for an Administrative Assistant. This is a full-time, non-exempt staff position.
The administrative assistant will schedule and coordinate meetings and calendars for the vice president of Finance and chief financial officer using Google; screen calls, visitors, and mail; provide administrative assistance with projects, correspondence, and additional tasks, including proofreading and attention to accuracy and ensuring professionalism of all materials and presentations; provide assistance including responding to sensitive requests for information; and perform accounting functions in the processing of requisitions, accounts payable vouchers, and expense vouchers for assigned areas, including travel expenses, mileage, and credit card usage and accounting for the petty cash fund. The administrative assistant will produce the batch file on reconciled credit card accounts for input into BANNER ; process for payment Office 360 supply invoices and UIndy Dining Services LLC invoices. Under the direction of the Director of Procurement, the administrative assistant will process purchase orders, set up new users on the BANNER system, and provide training on the requisition system as well as updating the UIndy Purchasing Channel on the intranet with new and revised policies and procedures. Under the direction of the executive administrative assistant to the CFO , the administrative assistant for Finance will revise office forms and organize and maintain complex filing systems and records. Additional responsibilities include ordering office supplies and performing other duties as assigned.

Required Education/Experience/Skills (Minimum Qualifications)
High school degree required; some college preferred (or equivalent combination of education and experience). Four years of administrative assistant experience required. Must be capable of making decisions independently and exercising good judgment and discretion in handling confidential and sensitive information. Excellent verbal and written communication skills, interpersonal skills, time management skills, planning skills, and organizational skills required. Must be able to be flexible to adjust to changing priorities and work well under pressure. Experience with Microsoft Office and Google.
Desired Education/Experience/Skills (Additional Qualifications)
Experience with BANNER is a plus. Experience working in a higher-education environment is preferred.
