The Administrative Assistant reports to the Director of Academic Affairs and serves as an Administrative Assistant to the Associate Dean of Undergraduate Programs, Graduate Programs, and faculty. The incumbent will be responsible for providing a friendly and professional atmosphere for all students, faculty, and visitors in the School of Nursing.

Required Qualifications
Bachelor's degree in Business Administration or related field (experience may substitute for degree on a year for year basis), plus two years of Administrative Assistant experience.
Evidence of proficiency with Microsoft Word and Excel.
Evidence of proficiency with Outlook.
Exhibits a high level of attention to detail and accuracy.
Proven strong organizational and interpersonal communication skills.
Aptitude to efficiently manage multiple time-sensitive tasks without sacrificing work quality.
Demonstrated ability to work in a self-directed manner in a team oriented environment.

Preferred Qualifications
Certified Professional Secretary (CPS) Certification
Proficiency in Microsoft Access, PowerPoint, ADOBE Acrobat Pro.

Serves as an Administrative Assistant to the Leadership Team in the SON Academic Affairs Office. This includes: Administering responses to routine inquiries from the public, students and faculty. Using critical thinking skills to anticipate needs of the Associate Deans and effectively resolve problems. Scheduling appointments and maintaining the Associate Deans' calendars. Attending meetings, taking notes, transcribe and distribute minutes. Meeting on a regular basis with the Associate Deans for project planning and review. Providing clerical support for special projects.

Coordinates special faculty events and meetings and correspond with attendees. Oversee document production, catering, set up, clean up, and provide assistance throughout the event.

Schedules nursing conference rooms and extra classrooms for student and SoN meetings. Forwards and manages department e-mails for communication of events, announcements, and other correspondence. Coordinates conference calls for meetings. Maintains Academic Affairs filing system. Assists with general department errands on campus on a daily basis.

Serves as the central distribution point for delivery and pickup of student and faculty materials (supplies, etc). Maintains an accurate mailbox system and distributes mail. Maintains a checkout system for office keys. Monitors and replenishes supplies in mailroom as needed. Call for repairs on office equipment. Submits and manages SoN work orders.
