The position of the Legal Administrative Assistant supports
General Counsel and provides general department support for the
in-house legal group. Support may include coordination of
schedules, meeting planning, documentation, travel arrangements and
clerical support.

Responsibilities:
Track, schedule and coordinate appointments and meetings for
General Counsel and the legal team

Review and prepare sensitive documents

Prepare agendas

Manage formal/informal correspondence for General Counsel

Manage calendars for General Counsel and the legal team

Work in tandem with in-house paralegals to schedule and
coordinate and prepare Board meetings/board packages, minutes and
notes

Manage/screen incoming phone calls for General Counsel and
respond to messages by referring calls or taking messages

Schedule travel for General Counsel and others in the legal
department

Schedule meetings and coordinates any catering needs that are
identified

Manage email for General Counsel and escalate things as
needed

Act as point of contact for visitors. May at times need to
manage visitors or interviewees

Perform document storage in the ECM system as needed - scan and
file documents as needed

Mail preparation/distribution

Assist with managing files and the record keeping systems

Document meeting minutes as requested

Coordinate temporary staffing needs within the legal group with
HR

Work with other internal administrative staff to provide back
up as needed

Manage the legal team's social celebrations

Requirements:
Associates Degree in business or legal related field (Paralegal
CERTIFICATION a plus)

Work equivalency - minimum 5 years of experience in directly
related field supporting executive level

Experience dealing with confidential matters - absolute
requirement that this position is discreet with the ability to keep
information confidential when needed

Experience in taking board meeting minutes

Experience in an energy or construction company is helpful but
not required

Understanding of legal terminology

Detail oriented

Self starter with the ability to thrive in a fast-paced
environment that requires prioritizing, performing with a high
degree of accuracy and meeting tight deadlines

Comfortable interacting with and influencing executives

Proficient with Microsoft office suite (Excel, PowerPoint,
Word).

Exceptional customer focus.

Office environment

Requires 5 years knowledge and use of legal terminology.

Education:
Associates Degree in business or legal related field (Paralegal
CERTIFICATION a plus)
