The Administrative Associate is an administrative professional in the WJE Chicago (Loop) office who works in a team setting to provide project support for engineers, architects, and other members of the administrative staff. The responsibilities for this role are clerical, but technical in nature and will draw upon experience, training, and or education. The ideal candidate will have strong office software and writing skills to ensure quality of work product.

Essential Project Support functions:
  • Collaborates with team members to prepare, edit, proofread, and assemble outgoing correspondence and project documents
  • Supports professional staff utilizing Word, Excel, PowerPoint, Outlook, and Adobe Acrobat
  • Assists Project Managers with a working knowledge of specific functions of the Vision project management database, e.g. relevant reports, pre-bills, etc.
Essential Administrative functions:

As part of an administrative team, shares responsibility for all aspects of the reception area of the office including, but not limited to:
  • Processes outgoing mail and packages to include special delivery services (Federal Express) as needed
  • Provides assistance where requested in the coordination of office tasks which may include resolving building issues, conference room scheduling and setup/takedown, contacting vendors as needed, and maintaining office equipment
  • Answers incoming calls and directs client inquiries appropriately
  • Orders supplies, keeps track of the inventory, and maintains supplies throughout the office
  • Assists with copying, filing, and binding as requested
  • Maintains office library
  • Bachelor's degree preferred

  • 3-5 years of prior work experience
  • Ability to multi-task and prioritize
  • Strong oral and written communication skills
  • Proficient in Word, Excel, PowerPoint, Adobe Acrobat, ACDSee (or other digital image software) and Vision (or other database management product)
  • Excellent customer service and interpersonal skills
  • Adaptability to changing priorities and project deadlines
  • Excellent grammar and proofreading skills
  • Ability to take direction from both the Unit Manager and the Branch Administrative Coordinator
