The WJE Denver office is seeking an Administrative Associate to provide project support for engineers, architects, and other members of the administrative staff. The responsibilities for this role are clerical, but technical in nature and will draw upon experience, training, and education. The ideal candidate will conduct themselves as a professional and have strong office software and writing skills to ensure quality of work product.

Essential Project Support functions:

This position involves direct support of a diverse group of project managers and other professional staff. Level of involvement with each staff member will vary, but is expected to include:
  • Collaborate with team members to prepare, edit, proofread, and assemble outgoing correspondence and project documents
  • Support professional staff utilizing Word, Excel, PowerPoint, Outlook, and Adobe Acrobat. Experience with or ability to learn routine editing commands within AutoCAD is a plus
  • Assist Project Managers with a working knowledge of the Vision project management database (e.g. relevant reports, pre-bills, timesheets, etc.)
  • Assist with organization and management of project files

Essential Administrative functions:

As part of an administrative team, share responsibility for all aspects of office support and the reception area including, but not limited to:
  • Process incoming and outgoing mail and packages to include special delivery services (Federal Express) as needed
  • Provide assistance where requested in the coordination of office tasks which may include resolving building issues, conference room scheduling and setup/takedown, contacting vendors as needed, and maintaining office equipment
  • Answer incoming calls and direct client inquiries appropriately
  • Develop marketing materials that highlight particular projects or firm capabilities. Assist with responding to requests for proposals/qualifications
  • Assist with copying, filing, and binding as requested
  • Maintain office library


This position requires a consummate professional who possesses a strong intellect, sound judgment, and an eye for detail. Additional requirements include:
  • Bachelor's degree preferred
  • 3-5 years of prior work experience
  • Ability to multi-task and prioritize
  • Strong oral and written communication skills
  • Proficient in Word, Excel, PowerPoint, Adobe Acrobat, ACDSee (or other digital image software) and Vision (or other database management product)
  • Excellent customer service and interpersonal skills
  • Adaptability to changing priorities and project deadlines
  • Excellent grammar and proofreading skills
