Position Description

***THIS INTERNAL RECRUITMENT IS OPEN TO CAL POLY EMPLOYEES ONLY (State, Corporation, and ASI)*** The performing arts center is a facility dedicated to the presentation of concerts, theatrical and special events, presented by campus and community groups. The Administrative Coordinator is responsible for providing assistance to the Managing Director in the execution of his administrative responsibilities and for providing support services to the Center's administrative staff. The Administrative Coordinator is enabled to make decisions within the approved policies or protocols of the performing arts center, within the realm of the job description, or as delegated by the Managing Director. All interpretation of policy requires final review by the Managing Director. Does not have signature authority for expenditures.

Minimum Qualifications (Staff Only)

High school diploma or its equivalent. Type 45 wpm. Five years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)

Required Qualifications / Specialized Skills

In-depth knowledge of or the ability to quickly learn the functions of the Performing Arts Center, as related to overall campus environment and the Community. Ability to compose and edit documents to conform to University and Performing Arts Standards and Policies. Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email. Ability to maintain the highest level of confidentiality with regard to CCPACC materials and Client Records. Knowledge, experience and ability to maintain electronic and paper records and files. Working knowledge of or the ability to quickly learn budget and PAC accounting procedures. Ability to take initiative and independently plan organize, coordinate and perform work in various situations where numerous and diverse demands are involved. Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds. Ability to establish and maintain positive working relations with the University community, CP Foundation. Clients. Community leaders and the general public. Ability to effectively handle interpersonal interactions and sensitive situations at all levels. Demonstrated customer service experience requiring a very high level of diplomacy and professionalism. Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems. Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Thorough knowledge of English grammar, spelling and punctuation. Ability to interpret, communicate and apply policies and procedures. Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines. Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.

Preferred Qualifications / Skills

Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude. Undergraduate Bachelor's degree or equivalent experience.

Special Conditions (Staff)

***THIS INTERNAL RECRUITMENT IS OPEN TO CAL POLY EMPLOYEES ONLY (State, Corporation, and ASI)*** Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business. This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA). Administrative Coordinator must be able to spend substantial working hours at a computer, in an open office environment with numerous interruptions. Must be willing to travel and attend training programs off-site for occasional professional development. Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis. Must be able to successfully pass a pre-employment background/fingerprint check.
