The Part-time Administrative Projects Assistant is responsible for administrative and project-based work for Mastery Charter Schools’ Central Office. This position also supports the daily operations of the Central Office of Mastery Charter Schools. This employee will complete projects that support the work of the Central Office with a strong focus on managing and producing data-related reports. This position works closely with the Executive Assistant and Office Manager. Beyond projects, daily duties will also include answering phones, greeting guests, sorting mail, filing, faxing, maintaining databases and any other clerical duties as needed. This position reports to the Director of Innovation.

Duties and Responsibilities:
  • Completing project based work as assigned
  • Coordinating logistics of annual trainings and events
  • Logistics management for campus based programs and pilots (Mastery at CCP, SEPTA transportation, etc.)
  • Helping with other areas of the organization as needed
  • Maintaining a positive and welcoming environment for parents, visitors, coworkers and students
  • Directing and screening phone calls and answering general inquiries from employees and visitors
  • Greeting parents and visitors to the Central Office and directing them to the appropriate location
  • Maintaining databases in Excel and a Digital Library of corporate files
  • Assisting in ordering of office supplies, tracking and processing of invoices and reimbursements when needed
  • Assisting with mailing and shipping delivery systems when needed
  • Maintaining conference room calendars when needed
  • Other general administrative duties as assigned
  • Coordinate with Executive Assistant daily to manage office operation schedule

  • Demonstrated proficient to advanced computer skills; Specifically, Microsoft Office: Outlook, Word, Excel and PowerPoint – savvy with Excel is a must
  • Ability to learn new programs/software quickly
  • Extreme attention to detail in written work and mathematical computation
  • Proven experience multi-tasking, organizing and prioritizing work
  • Ability to work in a team
  • Ability to handle multiple requests and inquires and respond within a timely manner
  • Ability to problem solve
  • Performs duties with a high degree of professionalism and positive energy

Minimum Education and Experience:
  • High School Diploma with at least five (5) years of clerical/administrative experience involving project work; OR Associate’s Degree with at least of two (2) years of clerical/administrative experience; bachelor’s preferred
  • Experience working in an urban educational setting preferred

Physical Requirements:

Ability to physically perform the duties required and to work in the environmental conditions required such as maneuvering in an office space-reaching file cabinets, filing, faxing, scanning, coping, typing, mailing, and making phone calls; Must be able to sit for up to four (4) hours looking at a computer monitor, using a keyboard and mouse and typing; Must be able to lift up to 20 lbs.
