We are looking for a top-notch receptionist with a stellar personality and great attitude that can spread his or her positive personality throughout the organization and keep up with the fast-paced environment. The Administrative Receptionist is the face and the voice of Mandiant’s Security Operations Center (SOC). You will be the central hub of information for all goings on at the SOC. It's a big job, and an important one to Mandiant. We're not saying it's going to be easy. Essential Duties and Responsibilities
  • Answer all incoming calls and either personally assisting the caller, taking accurate and detailed messages, or correctly routing the call to the appropriate person
  • Greet all visitors in a cordial and friendly manner, notify staff of their arrival; direct visitors to restrooms and kitchen/coffee, offer to hang up coats
  • Provide reception coverage at all times
  • Process visitor identification badges
  • Arrange for courier pick-ups and car/taxi service
  • Distribute faxes and incoming documents and packages
  • Maintain reception area in a neat and orderly manner
  • Ensure conference rooms are properly equipped and kept presentable
  • Order office supplies and maintain office supply inventory, including kitchen supplies and company SWAG items
  • Manage conference room scheduling calendar and requests from staff for conference rooms
  • Work with building management and Mandiant Facilities to coordinate, facilitate, and ensure work orders are completed
  • Support staff from other departments and Mandiant office locations in assigned project-based work, as assigned
  • Assist with planning and implementation of company sponsored events, meetings and catered lunches, as requested
  • Provide administrative support to Management Team and other staff, as assigned
  • Expense reporting, as needed
  • Assist in planning for company-wide events and SOC events/meetings

Required Skills
  • Possess a welcoming and professional phone voice
  • Strong interpersonal and customer service skills – being courteous, professional and helpful
  • Knowledge of multi-line telephone operations
  • Maintain regular and consistent attendance
  • Must be proficient with the Microsoft Office Suite of products with an emphasis on Word, PowerPoint and Excel
  • Able to get along well with other employees and function as a team player
  • Ability to think strategically in a fast-paced environment while prioritizing to meet deadlines – all with a smile on your face!
  • Top-notch oral and written skills
  • Goal-oriented, self-motivated, creative, flexible and adaptable to new situations
  • Able to work independently with minimal direction
  • Knowledge of electronic calendars (Outlook)
  • Able to manage multiple tasks, switching gears with ease
  • Solid organization, prioritization and planning skills

  • High school diploma required; some college preferred
  • Minimum one year of professional work experience in a customer service role
  • Preference may be given to applicants with Receptionist experience in a corporate setting

  • This is an on-site position in Redwood City, CA; office hours are 9 am – 6 pm with lunch hour and morning/afternoon breaks
