This individual performs confidential administrative support duties, which include typing, filing, answering telephones, scheduling appointments, and assisting staff. Maintains effective and efficient flow of communication and information through calendars, correspondence, memos, telephone messages, and office records. Ensures that correct distribution and disposition is made of complaints, notices, publications, memoranda, directives, and related materials. Screens visitors, telephone calls, and incoming mail. Enters data into computer via use of word processing, database, spreadsheet, and various other computer applications. Types and files confidential information regarding students. Works closely with Academic Affairs, Records and Registration, Admissions, Business Services and Business & Community Education personnel. Assists students with registration, cancellations, CEU certificates, and payment issues. Maintains student records and ensures accurate recordkeeping and retrieval. Prioritizes and completes work accurately and in the required time frame. Professionally answers telephone, directs calls to appropriate area, and gives general information in response to public or official inquiries. Demonstrates good judgment, tact, and courtesy when dealing with the public or staff. Ensures students have adequate supply of course manuals and materials and orders or reproduces course manuals and general materials as requested. Assists and directs students regarding adding, dropping, registering of classes, and payment. Maintains verbal and written confidentiality in all areas of responsibility. Maintains professional attitude and demeanor when dealing with students, schools, agencies, and staff. Assists and directs client questions to appropriate areas. Performs other related duties as assigned.

QUALIFICATIONS: Associates Degree and two years of office/clerical experience or equivalent combination of education and experience. Experience with Excel, Word, or equivalent software with advanced computer skills. Minimum typing speed of 40 net words per minute. Ability to respond in emergency situations. Ability to provide excellent customer service. Ability to communicate effectively both orally and in writing. Strong organizational skills and the ability to demonstrate logical analytical thought in problem solving and organization. Ability to work effectively in a collaborative team atmosphere. Demonstrated organizational skills. Ability to handle confidential information. Must project a positive professional image. Ability to work flexible hours. Ability to maintain and prepare records and reports. Working knowledge of instructional delivery/programs processes, policies, and procedures. Working knowledge of email and Internet. Ability to work with minimal supervision in a cooperative, contributive manner. Ability to work on multiple tasks and meet deadlines while performing receptionist duties. Ability to understand and follow complex oral and written directions. Ability to work with diverse groups. Thorough knowledge of the operations, functions, and scope of authority of the College as related to the handling and disposition of complaints, requests for information, and delegated administrative details.

EMPLOYMENT STATUS: Wages expected to be $12.61 per hour and a choice of retirement programs--IPERS (defined benefit) or TIAA-CREF (defined contribution) for all positions. Anticipated hours will be five to seven hours per day between the hours of 7:00 a.m. to 1:00 p.m., four to five days per week (Monday through Friday) with occasional evening or weekend hours.
