The primary focus of this position is to manage the reception area and to provide administrative, executive and operational support as needed. In addition to secretarial duties (filing, taking phone calls, scheduling appointments, receiving employment candidates), this position will provide administrative support to executive staff with office management responsibilities to include arranging for corporate functions, assisting with developing marketing materials and marketing efforts and providing operational administrative support

Essential Duties and Responsibilities:

Assist in the maintenance of the office’s calendar, scheduling appointments, coordinating meetings and conferences. Maintain files in accordance with established functional file system. Serve as the travel coordinator by compiling data for extensive travel orders and related documents, preparing and submitting travel requests, developing itineraries, arranging tickets, making reservations for transportation, hotels and billeting, preparing trip reports and travel vouchers. Receives telephone calls, emails and visitors, ascertains the nature of requests and directs to appropriate person.

Executive Assistant responsibilities will include, but are not limited to reviewing and summarizing miscellaneous reports and documents; preparing background documents; managing and maintaining calendars; coordinating and supporting meetings; maintaining interactions between different divisions; and oversee administrative procedures and processes for the office.

Other specific duties and responsibilities:
Answering and screening incoming calls

Greeting corporate visitors and applicants

Arranging for visitor parking and directions

Keeping reception and other common areas neat and presentable

Assisting recruiters with reference checks and quality calls

Sending out monthly birthday cards to employees

Monitoring and ordering supplies

Working with Building Superintendent concerning day to day office related issues

When directed, provide support services to core business processes (Sale, Business Development, Recruiting and Operations)

Printing, scanning and document reproduction, then distributing them to appropriate personnel

Drafting correspondence, memorandums for executives

Assisting in reproducing, binding and compiling materials

Assisting in employee recognition programs

Sending holiday cards to clients

Upkeep of core lists for mailings and e-mails

Assisting in phone calls to prospects for information or visits

Other administrative tasks as directed by company executives.

Supervision:
This position does not have any supervisory responsibilities.

Minimum Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Skilled in office automation systems to use several types of software for various office needs. Ability to apply knowledge of software functions to produce a wide range of documents. Ability to produce and meet deadlines. Ability to demonstrate project and time management skills. Ability to prioritize objectives and complete multiple duties efficiently

Education and/or Experience:
B.A. or B.S. degree preferred

Two years of experience in general office, clerical and administrative support work.

Education may be substituted for experience as determined relevant by the company.

Demonstrated superior communications, writing, editing, and proofing skills.

Strong work ethic and ability to multi-task/manage multiple priorities.

Excellent oral and written communication skills.

Highly detailed-oriented, with excellent planning and follow through skills

Experienced in performing a full range of clerical, secretary, and administrative support functions.

Intuitively able to reason, analyze information and events, and apply judgment in scheduling events and appointments for Executive Staff.
