Summary: Xavier University of Louisiana seeks applicants for the position of Administrative Specialist for the Confucius Institute (CI).

Xavier, located in New Orleans, is the nation's only Historically Black and Catholic institution of higher learning. As the only Confucius Institute among the nation's HBCUs, the mission of Xavier's CI is to teach students and the surrounding community Chinese language, history, culture and economic development, and to promote increased understanding between the United States and China.

To help fulfill this mission, the CI seeks a full-time Administrative Specialist to facilitate the daily operation, programming, community outreach, and communication with various parties and officials.

Essential Duties and Responsibilities:
 Assist the CI Director and Co-Director in developing programs
 Participate and support CI fundraising activities
 Help in recruitment for the CI, and actively engage the surrounding community, including the Chinese community
 Communicate with Hanban/Confucius Institute Headquarters, the Houston Consulate General of China, Hebei University, and other CIs or universities
 Provide language translation services, when needed
 Answer telephones, take messages, provide information to callers, or transfer calls to appropriate personnel
 Maintain and confirm schedules, appointments, events, and calendars
 Prepare and organize conferences, meetings, and travel arrangements and reimbursements
 Take, type, and distribute minutes for CI meetings
 Prepare, organize, and implement CI events, festivals, and activities, and take photos and/or video-record such events
 Prepare and manage reports, forms, documents, and correspondence
 Prepare and manage newsletters, promotional material, CI event programs, and internet materials for the CI
 Maintain office and filing systems
 Handle incoming and outgoing mail, and prepare answers to routine letters
 Order and dispense equipment, software, and supplies
 Operate office equipment
 Maintain a daily work log and write monthly summaries of CI activities;
 Other CI-related business, as assigned

Minimum Qualifications:
-- Bachelor's degree required; Master's degree preferred
-- Proficient in English and Chinese
-- Knowledge and experience of relevant software applications, including spreadsheets, word processing, database management, internet software and design
-- Knowledge of administrative and clerical procedures
-- Knowledge and familiarity with program and brochure designs
-- Knowledge of HBCU school setting
-- Demonstrated active community outreach experience
-- Experience in producing documents, forms, and correspondence
-- Proficient in information and communication management.
