Position provides general and specialized office support including word processing, data processing, filing, and record keeping for the quality organization. Prepare and review production documentation in preparation for customer reviews.
Essential Job Functions (Including % of Time for Each):
Under general supervision, performs a variety of semi-routine clerical support duties of moderate complexity requiring the exercise of some discretion and limited use of judgment and initiative.
50% - Provide administrative support to the Quality Department to include: Maintain the department calendar including meeting coordination and scheduling for auditors and other visitors; Receiving and scheduling of document review; Timekeeper for Quality Department (includes monitoring time card for completion and compliance); Department calendar support and travel arrangements including expense report completion as requested; Coordination of office supplies and support needs for office tools; Other duties as assigned.
40% - Filing and file storage coordination including IR and completed documentation storage and other routine filing needs of the department staff; Routine data processing and report generation using Oracle.
10% - Large Project copy support as needed for audits and other projects.
Graduation from high school or equivalent and a minimum of two (2) years of directly related experience sufficient to successfully perform the essential duties of this position.
This position requires the ability to obtain and maintain a U.S. government clearance (U.S. citizenship is required). Demonstrated ability to effectively interface with all levels of personnel and work in a team environment; communicate effectively, both verbally and in writing; effectively schedule and prioritize work assignments; exercise some independent action within predetermined limits; interpret and follow verbal and written instructions. Knowledge of filing systems and the ability to file including maintaining the departments recordkeeping and business correspondence. Candidate should have the knowledge to create business memos and writing using the rules of grammar, good sentence structure, correct punctuation and spelling. Ability to perform tasks in a fast paced changing environment is a must. Desirable candidate will have a general knowledge of Quality department operations. In addition, the candidate should have experience with all Microsoft Office Suite applications including Excel and Word, and Power Point. Experience with Oracle a plus.
